1. Survey Cancellation Eligibility
Clients may request the cancellation of a commissioned structural survey or diagnostic analysis under specific conditions outlined in this policy. Eligibility for cancellation depends heavily on the current deployment status of our analytical instruments and the progress of the data extraction process. If a cancellation request is submitted before our trace instruments have been fully calibrated and deployed across your digital properties, you are generally eligible to halt the survey without incurring the full cost of the engagement. However, once the initial baseline readings have been established and the extraction of source cores has commenced, the survey is considered active, and the options for cancellation become significantly restricted due to the immediate commitment of our analytical resources.
2. Timing of Cancellation Requests
The timing of a cancellation request is the critical factor in determining the financial implications of halting a survey. To qualify for a full refund of any initial deposits or pre-payments, the cancellation request must be formally submitted within twenty-four hours of the original survey commission. Requests received after this initial window, but before the commencement of active data extraction, may be subject to an administrative fee to cover the costs associated with initial project scoping and instrument preparation. Once our analysts have begun processing the telemetry data and compiling the preliminary structural models, the survey cannot be entirely cancelled, and the client remains responsible for the costs associated with the work completed up to that point.
3. Digital Content and Service Distinctions
It is important to distinguish between the provision of continuous diagnostic services and the delivery of specific digital content, such as comprehensive structural reports or historical decision ledgers. Continuous monitoring services, such as our live trace analysis, can typically be terminated with a standard thirty-day notice period, after which billing will cease. However, commissioned digital content, including customized analytical models and detailed geological assessments, is considered non-refundable once the final assets have been delivered to the client. The unique, proprietary nature of these reports means that their value is transferred immediately upon delivery, precluding the possibility of a return or refund.
4. Rescheduling and Calibration Adjustments
In situations where a client needs to delay the commencement of a survey or adjust the parameters of the analysis, we offer flexible rescheduling options in lieu of outright cancellation. If you encounter unforeseen delays in preparing your digital infrastructure or need to redefine the scope of the required intelligence, you may request a pause in the instrument deployment process. We will hold your commission active for a period of up to ninety days, allowing you time to resolve the underlying issues before we proceed with the calibration and extraction phases. Significant changes to the survey coordinates or the required depth of analysis may necessitate a revision of the project timeline and associated costs.
5. Non-Refundable Analytical Work
Certain phases of our analytical process represent a significant investment of specialized expertise and computational resources, and are therefore strictly non-refundable once completed. The extraction and initial processing of source cores, the calibration of threshold fields, and the development of preliminary diagnostic models all fall into this category. If a survey is halted after these critical stages have been executed, the client will be billed for the proportion of the total project cost that corresponds to the completed work. We provide detailed progress reports throughout the engagement to ensure that clients are fully aware of the status of their survey and the associated financial commitments.
6. The Request Process
To initiate a cancellation, rescheduling, or refund request, clients must submit a formal notification through our designated administrative channels. The request must include the specific survey identification number, the coordinates of the target digital properties, and a clear explanation of the reasons for halting the engagement. Verbal requests or informal communications with individual analysts will not be considered valid for the purposes of processing a cancellation or refund. We require written documentation to ensure accurate record-keeping and to maintain the integrity of our decision ledger regarding client engagements.
